The short version

Who we are

SocialBrick (“we”, “us”) is a community management agency. We run Discord communities on behalf of our clients (brands, artists, creators and teams) and give them a dashboard showing how their community is doing. This policy covers:

The server owner (our client) decides to add our bot to their server. We process the data described here to provide our service to them.

What the analytics bot collects

DataWhat we storeWhy
MessagesA count of messages per channel per hour, and how many different people posted in that hour. No message text, attachments or reactions.Show how active each channel is and how that changes over time.
Joins and leavesThat a member joined or left, when, and a keyed hash of their user ID.Show growth and how many new members stay (for example, “65% of new members were still here a week later”).
VoiceWhich voice channel, when a session started and ended, and a keyed hash of the user ID.Show voice activity, such as total hours per week.
Server totalsMember count, approximate online count, boost level and channel and role counts, once an hour.Track the server’s size over time.
Channel namesThe names of channels where activity happens.Label the charts.
Support ticketsIf the server owner switches it on: when each support-ticket channel opens and closes, and when a staff role first posts in it. Channel IDs and times only. No ticket channel names, message text or member IDs.Show how many tickets come in and how quickly they’re handled.

The bot does not collect message content, usernames, nicknames, avatars, presence or online status of individual members, direct messages, or anything outside the servers it has been added to. It doesn’t post, react, moderate, or send anyone messages.

For the dashboard’s live view, the bot keeps the last 15 minutes of per-channel message counts in temporary memory, identified only by hashed IDs. This expires automatically within 30 minutes.

About the hashes

A hash is a fixed-length code generated from your user ID with a secret key that only we hold. It lets us recognise that the same person joined and later left, without storing who that person is. It can’t be turned back into your user ID without the secret key.

What the dashboard collects

For people with a dashboard login (our clients and staff) we store your email address, a securely hashed password (never the password itself), which servers you can see, and when you last signed in. If you send us a help request through the dashboard, we keep your message and our replies so we can follow up, and we post a copy to our private team channel on Discord so the right person sees it quickly. Clients can upload a logo, which is shown on their own dashboard. We log account actions such as invites, password resets and sign-ins so we can support you and keep accounts secure. Our staff may also record event turnout numbers (for example, “71 players in game 1”), which are counts only.

How we use data

We don’t use the data for advertising, we don’t sell it, and we don’t use it to train machine learning or AI models. Each client can only see data from their own servers.

Who can see it

SocialBrick staff, and the client whose server the data came from. We use these service providers to run our systems: Railway (database and servers), Netlify (dashboard website) and Discord (where the data originates). They process data only to provide their service to us. We’ll share data with authorities only if the law requires it.

How long we keep it

Security

Data is stored in a managed database that only our services and authorised staff can access. Connections are encrypted in transit. Dashboard passwords are hashed with bcrypt, and invite and reset links are stored only as hashes.

Your choices and rights

Depending on where you live (for example under the GDPR or the CCPA), you may have further rights, such as to object or to complain to your local data protection authority. Contact us and we’ll help.

Children

Our services follow Discord’s minimum age requirements. We don’t knowingly collect data from anyone under the minimum age in their country.

Changes

If we change this policy, we’ll update the date at the top. Significant changes will be shared with our clients before they take effect.
